GES Revises Administrative Policies on Letters, Promotions, Validations & So many more.



The Ghana Education Service (GES) has announced significant updates to its administrative policies, impacting teachers and school staff across the country

These changes are designed to streamline operations, enhance efficiency, and ensure better compliance with established guidelines. The revised policies cover crucial areas such as the handling of letters, study leave procedures, promotion criteria, staff validations, transfers, and overall administrative processes.

By implementing these updates, GES aims to improve communication within the education sector, standardize teacher career progression, and enhance accountability in school management. Below is a detailed breakdown of the key modifications:

Guidelines for Writing and Submitting Letters.

All official letters must follow a structured submission process.

•One copy is required for district offices, two for regional offices, and three for national headquarters.

•Letters addressed to the headquarters must first go through the district and regional education offices.

Study Leave and Further Studies Approval.

Teachers from Colleges of Education must serve three years in urban areas or two years in deprived areas before applying for study leave.

•Before enrolling in further studies, teachers must seek approval from GES and submit their admission letters, indicating whether their program is Regular, Distance, or Sandwich.

Qualification Requirements for SHS Teaching.

Teachers must hold a degree in the specific subject they intend to teach at the Senior High School level.

•A degree in Basic Education or similar fields does not meet the requirements for teaching at SHS.

Leave Policies: Casual, Maternity, and Paternity Leave.

•Teachers are entitled to 10 days of casual leave per academic year, distributed across the three terms. Requests must be made early and are subject to approval based on attendance records.

•Maternity leave remains 12 weeks, with an additional two weeks for multiple births. Any extension requires a medical report.

•Fathers are granted five days of paternity leave to support their spouses.

Promotions and Validation Updates.

The GES Director-General now has sole authority over all teacher promotions. Mass promotions have been abolished. Instead, evaluations will focus on performance, attendance, co-curricular involvement, and lesson preparation.

•Teachers who are transferred must be identified as "missing staff" and are required to contact the IPPD coordinator to facilitate their transfer to the appropriate management unit.

•Validators must accurately report teacher attendance. If a teacher is absent without permission, this must be recorded during validation. Covering absenteeism will lead to sanctions for both the teacher and the validator.

Transfers and Reposting Procedures.

Transfers will only be approved if there is a replacement available, ensuring that teaching is not disrupted.

Effective Use of Revision Weeks and Staff Meetings.

Teachers must ensure that revision weeks are fully utilized for student learning.

•Term-opening staff meetings should take place on the Monday before reopening to allow proper planning.

These policy updates reflect GES’s commitment to improving administrative processes and ensuring a more efficient and accountable education system.
